Dependent on your reasons and business requirements, TrackerRMS offers two set up options to meet your requirements. You can choose from either the zero cost Quick Start Set Up option or the Supported Set Up service which is chargeable. If you are looking to use the Quick Start set up then your business should already  -
  • Have an understanding of how to implement and map your business processes into a new CRM system
  • Have employees who have implemented CRM software previously and understand how to implement without support
  • Understand how to cleanse their own data and import the data straight into a CRM system
  • Have had internal discussions regarding CRM naming conventions, configuration and workflow process
Unless you or an employee within your business has had previous CRM software implementation experience, we strongly advise that you choose the Supported Set Up. This will ensure you receive maximum return on your investment and your business will continue to get the best from your new TrackerRMS software.

 

Working together for a successful TrackerRMS implementation

The TrackerRMS Supported Set Up is designed to ensure your investment in TrackerRMS is justified, as well as ensuring you continue to get the best from your new TrackerRMS initiative. It is important to ensure that you have a good understanding of what you are trying to achieve, in order that the eventual solution meets all aspects of your business needs.

We will work with you to determine what your requirements are and will continually consult with you during the implementation. Typically a TrackerRMS implementation will include the following steps:

Identifying who will be involved in your TrackerRMS implementation

Once contracts are signed, a member of our implementation team will call you to discuss the next steps. During this call we will arrange your first consultancy session.

Your Implementation Manager will be your point of reference throughout your entire implementation process. You will also be introduced to your Account Manager to ensure you always have an alternative contact throughout the process. During this first call, we will ask you to identify who will be the customer Project Manager and if any other members of your business will be part of the process.

Defining your requirements and mapping your business processes to TrackerRMS.

During the first consultancy session, we will set out and agree what your success criteria is and what you expect to get from your CRM initiative. We will begin to discuss with you in detail your CRM objectives taking into account all client facing departments, (including sales, marketing, customer service), as well as IT, finance and other key functions.

We will review your Reporting and other Management Information requirements and agree all process ownership including responsibility for workflows with agreement on “who does what” from both parties.

Once all this information has been collated, your new TrackerRMS environment will be created, your work-flow incorporated and your tailored system will be ready for you to review.

Configuring all your company and user requirements in preparation for go live
Now that your system is live and your workflow has been created, the implementation team will now begin to work with you on your company and user requirements. The tools menu with TrackerRMS is broken down into simple areas allowing simple configuration for options such as user group privileges, security access, report creation, custom fields and template creation. At this point your Implementation Manager will begin a number of “Day in the life” exercises to ensure your workflow and processes are working as they should.
Review existing data sources and plan a possible data migration schedule

TrackerRMS has been exposed to a vast number of both legacy and modern applications, data schemes and formats, which means our technicians are able to work with you to assess, cleanse and import this vital data into your system, whilst ensuring continuity and no loss of your core business information.

We can conduct full data and document migrations from the majority of CRM systems, or Recruitment databases. Sample data will be taken from you during the implementation for you to review and confirm you are satisfied with the mapping of the necessary fields.

Discuss and structure what type of training will suit your team

TrackerRMS can build specific training solutions tailored to your company needs and training and consultancy is provided in many forms.

Everything is in place so what happens on and after you go live with TrackerRMS

Your system has been configured to your requirements and your team is trained and ready to start using TrackerRMS. Should you be using our Data Migration services, we will agree to take a final data cut from your existing database and re run the latest data into your TrackerRMS system.

Your Account Manager will be on hand at all times during your first week of your new implementation to answer any questions you have. TrackerRMS clinics will also be booked in for the first few days to allow your team to dial into a web meeting and ask any questions they may have.
