& Support
Data migration and setup that gets you going faster, and support that’s included (and free) in every Tracker plan.
Onboarding packages,
with data migration built in
Switching to a new ATS is a major move, and your data is too valuable to leave to chance. Tracker’s dedicated implementation team manages every migration with expertise, precision, and fixed-price certainty, so the burden of success sits squarely with us.
With experience migrating data from over 100 different ATS and CRM platforms, including Bullhorn, Avionte, and more, we know that no two databases are the same. Every migration is scoped individually, with a clear process and defined expectations from day one.
Core, Professional, and Enterprise onboarding packages include data migration, scaled to the size and complexity of your data. Whether you are moving core records or a full back office, there is a migration path designed for your needs.

Other ways to start
Starting simple? Direct import gets you moving fast.
Not every agency needs a full migration. If your core data lives in spreadsheets or you have a library of resumes to bring across, our direct import tool is a cost-effective way to get your records into Tracker quickly.
Clients, contacts, and candidates
Import from Excel, CSV, or similar flat files. Most ATS and CRM platforms allow data exports in these formats, making this a straightforward option for teams that want their core records without full migration complexity.
Resumes and CVs
Bulk parse existing CV documents in any digitally readable format (doc, docx, pdf) directly into Tracker. Full candidate records are created automatically. Ownership can be assigned by user, department, or source.
Important to know: Direct import covers core records only. Relational data including activities, notes, emails, and work history requires a full migration. If your data needs significant cleaning, restructuring, or de-duplication before import, a small additional charge may apply. We will always confirm this upfront after reviewing your files.
Prefer to start fresh?
Some agencies choose to launch Tracker without carrying over historical data. This is a popular option for newer agencies and for teams that no longer trust the quality of their existing records. We will configure your full system, including users, templates, and workflows, from scratch, so your team is ready to hit the ground running from day one.
Why choosing the right ATS
migration approach matters
Data migration is one of the most underestimated steps in any ATS or CRM transition. A well-executed migration gives your team full continuity from day one, with every contact, placement, and client relationship exactly where it should be. A poor migration can mean lost records, a harder-to-use system, and real disruption to your business.
That is why Tracker never charges hourly for migration work. All pricing is fixed, which means our incentive is the same as yours: get it right and get it right the first time.
While extracting data from your legacy system is your responsibility, our team brings years of recruitment industry experience across 100-plus migrations. We can advise on how to export your data and prepare it for transfer, and we configure every migration to match how your team actually works. No two migrations are the same, and our individualized approach ensures every piece of data makes sense the moment you log into Tracker for the first time.

FAQ
Implementation questions
What has to be in Tracker on day one. For most agencies that’s active jobs, live candidates, and placement history. Everything else is scoped around it.
You do, or your current vendor does. We’ll tell you exactly what to ask for. A full backup from the vendor is almost always better than a self-export, which often leaves out notes, history, and the record IDs we use to link everything together.
A SQL backup is ideal. CSV or JSON files work too. We need two copies: one at the start to build and test the migration, and a refreshed copy just before go-live. Some vendors take a while to supply an export, so request it as soon as you sign.
No. We regularly build migrations for systems we haven’t seen before. We write the scripts from scratch around your data.
Yes. We’ve merged multiple legacy systems into a single Tracker database, handled duplicates between them, and helped decide which custom fields to keep so the result stays clean.
We can still link records on email address, with the risk of some duplicates or mismatches. We’ll tell you up front what we can and can’t guarantee, and put it in writing before we start.
Custom fields are created as part of the migration. Things like scorecards, screening answers, and form responses can come over as activities on the record, so they’re still there to look back on.
Yes. We load a first version and walk through each record type with you. You also get your own access to a review copy to check it at your own pace. We keep refining until you sign off on data quality, and only then take the final refresh and go live.
No. Migration is priced up front and fixed. We never charge hourly.
User permissions and templates. Every system structures them differently, so they don’t transfer cleanly. Your Customer Success Manager rebuilds them with you in a trial database, and we lay them onto your live database at go-live, so nothing has to be recreated on day one.
Two teams. Implementation looks after your data: where it goes and whether it’s right. Your Customer Success Manager then works with you on your go-forward processes, user groups, and permissions, using your own data rather than dummy records.
There’s a short switchover window in every migration. Anything your team adds to the old system after the final pull won’t come across. Most agencies give each user a simple tracker for anything business-critical, such as new jobs, placements, and assignment confirmations, and enter it on day one. Tracker’s importer can help with larger batches.
Tracker runs servers around the world, and your database is hosted in your region.
Full-time Tracker employees. We don’t offshore onboarding or data migration.
Yes. Onboarding is a single flat fee that covers your data migration, the consulting around it, and your team’s onboarding and training.
Usually, yes. Migrating two systems at once is scoped on its own. Many agencies migrate their main system in full and bring the second one’s records in with Tracker’s data importer from a CSV export.
No. Scoping covers what comes across and what’s left behind, so migration doubles as a clean-up. Many agencies use it to retire fields and records they no longer need.
Placement records come across with their rates and fees on every package that includes migration. Full timesheet, invoice, and payment history comes across on the Enterprise package.
Yes. Your team gets hands-on access before go-live, so recruiters can find their way around with your own data before they rely on it. Agencies tell us it’s the single biggest help with getting people on board.
You’ll join mapping sessions where our implementation lead walks through your data and agrees where each piece goes. After the first load you review it together, then move on to training with your Customer Success Manager before go-live. The heavy lifting on the data sits with us.
Start with whoever is leading the project. As the sessions move on to placements, timesheets, or compliance, bring in the person who works with them every day. At the end of each session we’ll tell you what’s coming next, so the right people are in the room.
Yes. Every migrated record keeps its ID from your old system in a legacy ID field, so it’s easy to look something up in both during review and after go-live. Most agencies keep the old system available for a while as a safety net.
